President-Elect, President, Past President (3-year term)

Must be a personal member of ALA/AASL for all three years of service.

President-Elect (Year 1)

  • Attends AASL Affiliate Assembly (Annual & Midwinter) as an observer
  • Serves as Chairperson of the Conference Planning Committee
  • Conducts board meetings of the Executive Board in absence of President
  • Serves on Budget Committee

President (Year 2)

  • Serves as delegate 2 for AASL Affiliate Assembly (Annual & Midwinter)
  • Schedules and conducts quarterly meetings of the Executive Board
  • Leads the NCSLMA organization for the year beginning at the fall annual conference date to the following conference
  • Represents NCSLMA at functions such as DPI meetings, NCTIES, etc.
  • Writes letters of support, advocacy, or interest when the interests of NC school librarians is needed or requested
  • Chairs Budget Committee which consists of Treasurer, Past-President, President-Elect, and two members appointed by the President
  • Appoints committee chair-elects annually and coordinators biennially 
  • Serves as vice-chair for Conference Planning Committee 

Past President (Year 3)

  • Serves as Section Chair for Regional Directors
  • Nominates members for elections
  • Communicates election results to membership
  • Serves as delegate 1 for AASL Affiliate Assembly
  • Serves on Budget committee
  • Serves as consultant for Conference Planning Committee

Executive Board

Secretary (2 year term)

  • Records attendance and minutes of the meetings of the Association and the board and to disperse those minutes to all members of the Executive Board in a timely manner
  • Submits minutes for the previous Board meeting for approval at each Board meeting
  • Maintains a file of records of minutes, appointments, correspondence, and election results for the Association
  • Transfers all records and files to the Archives Chair within one month after leaving office
  • Finds substitute if unable to attend any board meeting

Treasurer (Appointed)

  • Maintains accurate records of all financial assets, receipts, and disbursements of the Association
  • Receives all monies from workshops, institutes, memberships, etc., and deposits such funds to Association accounts in a timely manner 
  • Prepares and submits monthly bank reconciliation and income/expense reports to the president for approval
  • Keeps accurate records of Association funds in its bank accounts and give financial reports at all meetings of the Executive Board
  • Provides budget information to committee chairs upon request
  • Prepares and submits an annual budget to the Executive Board for review
  • Attends the annual conference to provide support and assistance to the Conference Chair in handling financial duties
  • Files appropriate reports as needed to maintain charitable status
  • Conducts audit at the end of term of service
  • Transfers all records and files to the succeeding Treasurer within one month after leaving office

Regional Directors (2 year term)

  • Serves as a communications channel between the Executive Board and the membership of that region
  • Provides opportunities for members to have input into programs and activities on regional and state levels
  • Creates and coordinates regional activities that promote professional development, membership growth, and opportunities for professional networking 
  • Organizes and chairs a committee including at least one member from each county in their respective regions. Regional committees may assist the Directors in fulfilling their duties

  • Coastal Director represents Regions 1 and 2 (Northeast and Southeast regions)
  • Piedmont-East Director represents Regions 3 and 4 (South Central and North Central regions)
  • Piedmont-West Director represents Regions 5 and 6 (Central and Southwest regions)
  • Mountain Director represents Regions 7 and 8 (Western and Northwest regions)

Section Chairs

Section chairs are appointed by the president or past president.

  • Oversees one or more special committees or liaisons 
  • Assists the Executive Committee in providing professional and educational connections, opportunities, and support for North Carolina School library media personnel
  • Serves as a communications channel between the Executive Board and the special committees or liaisons they oversee 
  • Consults with committee chairs to submit an annual budget request
  • Schedules and leads two or more meetings with committee chairs annually
  • Posts a report sharing information about section activities at least three days before any board meeting
  • Communicates concerns, questions, or issues to the board
  • Shares information with the general membership about activities in the section at least twice a year
  • Creates a plan of action for the year
  • Blogs about committee and related events once or twice a year
  • Updates and maintains appropriate section of the webpage
